Title: Accounts Payable Specialist
Description: Under the supervision of the Controller / AVP of Finance, the Accounts Payable Specialist is responsible for the accurate processing of invoices and payments to vendors in a high-volume office.
This position is also responsible for establishing and enforcing procedures and policies as well as maintaining vendor files and records including vendor tax information, and document preparation and review.
In addition, this position provides support to the Assistant Controller with various tasks.
Additional duties may be assigned on an as needed basis.
Responsibilities: Prepare payments to vendors.
Includes balancing check run totals to invoice totals, matching paperwork to payments, distributing checks, and maintaining paid vendor files Compile payment documentation.
Includes matching completed purchase orders and invoices, follow up with departments and vendors as necessary to facilitate timely and accurate payments Schedule timely vendor payments by determining due dates Create new vendor records as necessary, including appropriate tax information Review payment documentation for accuracy and compliance with all college policies and verify appropriate signatures have been obtained Provide support to the Director of Payrolls when the need arises Work with check reconciliation process.
Monitor outstanding checks and other accounting functions aiding the Assistant Controller in various systems.
Maintain and monitor third party payment processing systems, such as Paymerang.
Create and maintain positive relationships with external and internal vendors contacting them as necessary to obtain invoices, necessary paperwork and approvals Ability to create and maintain positive relationships with all internal and external constituents Comply with all applicable college, federal, state, local and associational laws, rules and regulations.
As a representative of the College, must comport oneself in a professional manner at all times, both on and off campus Participate in significant campus activities including Welcome Weekend, True Blue Weekend, and Commencement Weekend Additional job-related duties as assigned Requirements Minimum requirements for this position are Vocational/Technical/Business School experience/classes (Some College preferred) and 1 to 3 years of accounts payable experience along with strong computer skills.
Demonstrated knowledge of computer skills including proficiency with e-mail, Microsoft Office Word and Excel Customer service oriented Knowledge of tax-exempt status requirements Accounts Payable and Accounting experience Knowledge of Colleague (or other similar accounts payable system utilizing purchase orders) Excellent verbal and written communication skills Data entry and numeric entry skill Organization and multi-tasking Knowledge of IRS 1099 requirements Ability to prioritize workload to meet deadlines People skills to maintain vendor and co-worker relationships The College strongly recommends that all employees are fully vaccinated against COVID-19 (full course of primary vaccination plus at least one dose of a booster).
