The General Clerk II plays a pivotal role in supporting the mission of promoting conservation and sustainable land management practices.
This position involves various administrative duties and is essential to the smooth functioning of our organization.
*Key Responsibilities:*
* Answer telephones and greet visitors in a professional and courteous manner.
* Prepare, mail, and distribute letters, and manage incoming mail and deliveries.
* Assist with copying and filing, following NRCS and department guidelines.
* Prepare and process documents and correspondence, including SF-52, IRM-003, and Vehicle Logs.
* Gather data for reports, input information into databases and spreadsheets, ensuring accuracy and completeness.
* Assist with special projects and scan documents for audit preparation and storage.
* Proficiency in Microsoft Office Suite software, specifically Microsoft Outlook, Word, Excel, Access, and PowerPoint, as well as Adobe Acrobat Professional and Internet Explorer.
* Utilize various computer hardware and software applications, including agency-specific software (e.
g.
, Pro Tracts, NEST, FMMI, CONCUR) and Excel spreadsheets for report development.
* Demonstrate effective communication skills tailored to the audience and situation.
* Assist with financial management functions, including supply and equipment requests and supply ordering.
* Update agreements, maintain electronic records, and communicate information to customers and colleagues.
* Prepare various financial management spreadsheets.
* Receive shipments, process receipts, and maintain supplies and equipment orders.
* Maintain a safe and healthy work environment by adhering to safety protocols.
* Assist staff with reports, inquiries, and data gathering related to security processes.
* Provide support to local staff as needed.
*Qualifications:*
* Minimum Experience: 1 Year of similar job experience
* Minimum Education: High School Diploma or equivalent
* Possess a valid state-issued driver's license for use of a Government-Owned Vehicle (GOV) to travel between client offices.
* Proficient in word processing and knowledgeable in using various software applications (Microsoft Windows, Word, Excel, Adobe Acrobat, PowerPoint).
* Familiarity with small office machines, such as calculators, fax machines, scanners, and copiers.
* Knowledge of general office procedures, scheduling, report preparation, and filing.
* Able to use email and internet browsers.
* Exceptional customer service skills.
* Capable of working independently.
